These Terms of Service (“Terms”) constitute a legally binding agreement between you and Let’s Gravel Inc., governing your use of our app designed for group activity planning, itinerary management, and shared expense solutions (collectively, the “Let’s Gravel App”). By using the Let’s Gravel App, you confirm that you have read, understood, and agree to be bound by these Terms, as well as our Privacy Policy and Payment Terms.

1. Service Description

Let’s Gravel is a tool designed for group activity organizers and participants to simplify group planning. Key features include:
  • Itinerary Creation: Plan, edit, and share real-time itineraries.
  • Collaboration Tools: Coordinate with group members using integrated chat and task management features.
  • Expense Management: Securely track, manage, and process shared payments for group activities.
Let’s Gravel offers a user-friendly platform designed to streamline group activity planning, from initial ideas to final bookings.

2. User Roles and Responsibilities

A. Group Leaders

Group Leaders are responsible for:
  • Creating and managing group activity plans.
  • Communicating updates with group members.
  • Handling group expenses transparently.
  • Disclosing refund policies before participants confirm bookings.
  • Adhering to the refund policies selected for their trips.
If a Group Leader fails to comply with these responsibilities, including but not limited to timely communication, expense management, or refund policy adherence, Let’s Gravel Inc. reserves the right to suspend account privileges or terminate access to the platform.

B. Group Members

Group Members are responsible for:
  • Actively participating in the planning process.
  • Providing timely feedback to the Group Leader.
  • Adhering to group agreements regarding expenses, timelines, and other trip-related commitments.

C. All Users

All users are responsible for:
  • Maintaining accurate contact and payment information.
  • Communicating respectfully within groups.
  • Following the refund and dispute resolution policies outlined in these Terms.
  • Ensuring the security of their account by not sharing login details and promptly reporting any unauthorized use or suspicious activity to Let’s Gravel Inc.

3. Data Usage and Customization

Let’s Gravel optimizes data usage by offering features like:
  • Offline itinerary access.
  • Low-data mode for communication and updates.

Customization

  • Notification settings.
  • specific preferences.
  • Activity reminders.
Your data is used to improve user experience through personalized activity suggestions, in accordance with our Privacy Policy. Upon account deletion or content removal, Let’s Gravel will revoke the license to use your content for operational purposes. However, content used in marketing or other operational outputs already in circulation may not be immediately removed.

4. Payment and Expense Management Secure Payment Processing

Payments are processed through Stripe and Stripe Connect, enabling secure international transactions. Group Leaders must complete Stripe Connect verification to receive payments. Payment processing is available in supported countries as per Stripe’s regional policies.

Transaction Fees

A transaction fee of 6.25% $0.55 applies to payments made through the platform to cover processing costs. This fee is disclosed to organizers before creating a trip and all users agree to it from these terms.

48-Hour Payment Holding Policy

Payments are held in a secure holding account for 48 hours after booking. During this period:
  • Participants may request a refund under the 48-hour no-questions-asked refund policy.
  • Funds are inaccessible to the Group Leader until the holding period ends.
  • After the 48-hour window, funds are released to the Group Leader’s Let’s Gravel account unless a dispute is initiated.

5. Refund Policies

5.1 48-Hour No-Questions-Asked Refund

All payments are fully refundable within 48 hours of booking, provided the trip is scheduled at least 30 days away. Refunds requested during this period are processed automatically through the Let’s Gravel App.

5.2 Refund Policy Options

  • 5.2.1 Flexible Refund Policy100% refund, minus the 6.25% + 55 cents processing fee, if canceled 14 days or more before the trip start date.
    • 50% refund, minus the 6.25% + 55 cents processing fee (and commitment fee, if applicable), if canceled less than 14 days before the trip start date.
    • No refund if canceled less than 48 hours before the trip start date.
    Example (With Commitment Fee): Paid $1,000, canceled 10 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Non-refundable commitment fee = $100
    • Remaining amount after fees = $836.95
    • 50% refund of $836.95 = $418.47 final refund.
  • 5.2.2 Moderate Refund Policy100% refund, minus the 6.25% + 55 cents processing fee, if canceled 30 days or more before the trip start date.
    • 50% refund, minus the 6.25% + 55 cents processing fee (and commitment fee, if applicable), if canceled between 7 and 30 days before the trip start date.
    • No refund if canceled less than 7 days before the trip start date.
    Example (With Commitment Fee): Paid $1,000, canceled 15 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Non-refundable commitment fee = $100
    • Remaining amount after fees = $836.95
    • 50% refund of $836.95 = $418.47 final refund.
    Example (No Commitment Fee) Paid $1,000, canceled 15 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Remaining amount = $936.95
    • 50% refund of $936.95 = $468.47 final refund.
    Worst-Case Scenario: No refund if canceled less than 7 days before the trip, and the 6.25% + 55 cents processing fee is non-refundable.
  • 5.2.3 Strict Refund Policy50% refund, minus the 6.25% + 55 cents processing fee (and commitment fee, if applicable), if canceled 30 days or more before the trip start date.
    • No refund if canceled less than 30 days before the trip start date.
    Example (With Commitment Fee): Paid $1,000, canceled 35 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Non-refundable commitment fee = $100
    • Remaining amount after fees = $836.95
    • 50% refund of $836.95 = $418.47 final refund.
    Example (No Commitment Fee) Paid $1,000, canceled 35 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Remaining amount = $936.95
    • 50% refund of $936.95 = $468.47 final refund.
    Worst-Case Scenario: No refund if canceled less than 30 days before the trip, and the 6.25% + 55 cents processing fee is non-refundable.
  • 5.2.4 Very Strict Refund Policy50% refund, minus the 6.25% + 55 cents processing fee (and commitment fee, if applicable), if canceled 60 days or more before the trip start date.
    • No refund if canceled less than 60 days before the trip start date.
    Example (With Commitment Fee): Paid $1,000, canceled 70 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Non-refundable commitment fee = $100
    • Remaining amount after fees = $836.95
    • 50% refund of $836.95 = $418.47 final refund.
    Example (No Commitment Fee) Paid $1,000, canceled 70 days before the trip:
    • 6.25% + 55 cents processing fee = $63.05
    • Remaining amount = $936.95
    • 50% refund of $936.95 = $468.47 final refund.
    Worst-Case Scenario: No refund if canceled less than 60 days before the trip, and the 6.25% + 55 cents processing fee is non-refundable.
  • 5.2.5 No Refund PolicyNo refunds will be issued at any time after the 48-hour grace period ends.
    • A 6.25% + 55 cents processing fee applies to any cancellation within the first 48 hours.
    Example (With Commitment Fee): Paid $1,000, canceled after the 48-hour grace period:
    • No refund will be issued.
    • Non-refundable commitment fee = $100
    • 6.25% + 55 cents processing fee is non-refundable.
    Example (No Commitment Fee) Paid $1,000, canceled after the 48-hour grace period:
    • No refund will be issued.
    • 6.25% + 55 cents processing fee is non-refundable.
    Worst-Case Scenario: No refund if canceled at any time after the 48-hour grace period.

5.3 Refund Policy Enforcement

Group Leaders are contractually bound to adhere to the selected refund policy. Let’s Gravel may mediate or enforce refunds if a Group Leader does not comply with their own policy. In such cases, Let’s Gravel may withhold funds, suspend or terminate the Group Leader’s account, or take other remedial measures.

6. Community and Collaboration

Users are expected to maintain respectful communication and adhere to the following guidelines:
  • No harassment, hate speech, or inappropriate behavior will be tolerated.
  • Respect privacy by not sharing sensitive group-related content outside the platform.
  • Abide by any additional rules set by the Group Leader for specific trips.

Content Moderation and Safety Features

Let’s Gravel provides several mechanisms to ensure user safety and content moderation:
  • Trip Reporting System
    • Users can report trips that violate platform guidelines
    • Reports are reviewed within 24 hours
    • Appropriate action will be taken against verified violations
  • User Blocking
    • Users can block other users in private chats
    • Blocked users cannot send messages or view the blocking user’s content
    • To unblock a user, contact support at [email protected]
    • All unblock requests must be reviewed and approved by Let’s Gravel support team
  • Group Chat Moderation
    • Users can report inappropriate messages in group chats
    • Multiple reports of the same content trigger expedited review
    • Group administrators can remove problematic content
  • Group Reporting
    • Users can file complaints about entire groups
    • Reports can include multiple violations
    • Groups found in violation may be suspended or terminated
  • Automatic Content Filtering
    • Trip creation and activity details are automatically screened for inappropriate content
    • Content containing prohibited words or phrases will be automatically flagged
    • Users will be prompted to revise flagged content before submission
    • Repeated attempts to submit inappropriate content may result in account restrictions

Enforcement Actions

Let’s Gravel will take the following actions on reported content:
  • Review all reports within 24 hours
  • Remove content that violates our guidelines
  • Suspend or terminate accounts of users who post prohibited content
  • Notify relevant parties of actions taken
Failure to comply with these guidelines may result in:
  • Content removal
  • Temporary account suspension
  • Permanent account termination
  • Restriction from creating or joining new groups

7. Content Restrictions and User Conduct

Let’s Gravel maintains strict content guidelines in compliance with European Union and United States laws. The following content and conduct are strictly prohibited:
  • Nudity, sexually explicit material, or adult content of any kind
  • Harassment, bullying, or content that creates a hostile environment
  • Discriminatory content based on protected characteristics
  • Violence or content promoting illegal activities
  • Fraudulent or deceptive content
  • Content that violates intellectual property rights
  • Commercial spam or unauthorized advertising

Violation Reporting and Response Time

  • All reports of prohibited content will be reviewed within 24 hours
  • Content found to violate our guidelines will be removed immediately
  • Users who posted violating content will be notified of the removal
  • Repeated violations will result in account termination

Reporting Mechanisms

Users must report prohibited content through the following channels:
  1. In-app reporting buttons for:
    • Individual trips
    • Private messages
    • Group chat messages
    • Group conduct
  2. Email reports to [email protected]
  3. Block feature for abusive users
Let’s Gravel reserves the right to:
  • Remove content
  • Suspend accounts
  • Terminate access without prior notice
  • Report legal violations to appropriate authorities

Appeals Process

Users may appeal content removal or account actions by:
  1. Sending an email to [email protected]
  2. Including relevant details and evidence in the email
  3. Waiting for review (typically within 48 hours)
All appeals must be submitted via email only. Appeals will be reviewed fairly, but Let’s Gravel’s decisions are final and binding.

8. Legal and Liability Accuracy of Itineraries

Let’s Gravel is not responsible for inaccuracies in user-created itineraries or any activity outcomes resulting from such inaccuracies. It is the Group Leader’s responsibility to ensure all activity details are accurate and up-to-date.

User-Generated Content

Users retain ownership of the content they create on the platform, including itineraries, photos, and messages. However, by posting or sharing content on Let’s Gravel, users grant Let’s Gravel a non-exclusive, revocable, royalty-free license to use, reproduce, and display their content within the app for operational purposes. For public trips, users further grant Let’s Gravel a license to use trip details for marketing purposes. If a user deletes their content or closes their account, the license granted to Let’s Gravel is revoked, except for content already used in marketing materials or operational processes.

Limitation of Liability

To the maximum extent permitted by law, Let’s Gravel shall not be liable for:
  • Indirect, incidental, or consequential damages.
  • Loss of profits, data, or business opportunities.
  • Disputes arising between Group Leaders, Group Members/users.
Let’s Gravel’s total liability, if any, shall not exceed the total amount paid by the user in connection with the disputed transaction. Let’s Gravel Inc. shall not be liable for any outcomes of travel activities planned through the platform, inaccuracies in user-generated itineraries, or disputes between users. The company acts solely as a facilitator and does not guarantee the success or satisfaction of trips planned on our platform.

9. International Users

Let’s Gravel is available internationally, subject to regional restrictions and compliance requirements. Users must comply with their local laws and regulations regarding online payments, data protection, and digital services. The platform adheres to international data protection standards, including GDPR for European users.

10. Travel Insurance Requirement

All participants are required to secure travel insurance before confirming a booking on the Let’s Gravel platform. Travel insurance should cover:
  • Trip cancellations or delays.
  • Financial losses due to unforeseen events or Group Leader non-performance.
  • Medical emergencies during travel.
Let’s Gravel facilitates activity/trip planning and coordination but does not guarantee refunds beyond what is provided under the selected refund policy. Participants are responsible for purchasing adequate travel insurance. Let’s Gravel does not monitor or verify whether participants have secured insurance. Let’s Gravel Inc. provides resources and guidance on selecting travel insurance, including partnerships with insurance providers to offer educational webinars or materials within the app to assist users in choosing the right coverage.

11. Verified Group Leader Program (Coming Soon)

Let’s Gravel Inc. is working on a Verified Group Leader Program to enhance participant trust and ensure reliable trip management. Once implemented, only Verified Group Leaders will be eligible for certain platform privileges, including direct payment collection and marketing support. Stay tuned for updates on this program.

12. Accessibility and Inclusivity

Let’s Gravel is committed to making the platform accessible and inclusive for all users. We follow WCAG 2.1 Level AA guidelines, ensuring the app is:
  • Usable by individuals with disabilities.
  • Equipped with features like text-to-speech, high-contrast modes, and multilingual support.
We are committed to ongoing improvements in accessibility to serve a diverse user base. Let’s Gravel Inc. commits to quarterly reviews of our platform’s accessibility features, with updates communicated through our accessibility roadmap, which users can access within the app.

13. Feedback Mechanism

We value user feedback and encourage users to share suggestions, report issues, or provide general comments via: All feedback is reviewed by our team and considered for future platform enhancements. User feedback directly influences our platform’s development. We will review feedback monthly, with significant suggestions and implemented changes highlighted in our monthly community update, available in-app and via email.

14. Dispute Resolution

If a dispute arises, participants should first attempt to resolve it directly with the Group Leader. If unresolved, participants may initiate a dispute through the Let’s Gravel App by submitting a dispute form with relevant details. Let’s Gravel will mediate the dispute and may, at its discretion, take the following actions:
  • Withhold payments from the Group Leader.
  • Issue refunds based on the investigation’s outcome.
  • Suspend or terminate accounts involved in repeated or severe disputes.
Disputes not resolved through mediation may be subject to binding arbitration in accordance with the rules of the American Arbitration Association, with proceedings held in Wilmington, Delaware. Alternatively, both parties consent to the jurisdiction of the Delaware state courts for any legal action. Dispute timelines aim for resolution within 14 days of submission; however, complex disputes may require additional time.

15. Force Majeure Clause

Let’s Gravel Inc. shall not be liable for any delay or failure in performance resulting from causes beyond its reasonable control, including but not limited to:
  • Acts of God (e.g., earthquakes, floods).
  • Government actions or regulations.
  • Wars, strikes, or labor disputes.
  • Pandemics or other public health emergencies.
  • Technical failures beyond Let’s Gravel’s control.
In such cases, Let’s Gravel may suspend or terminate affected services without liability. However, where possible, we will support the processing of refunds in line with the selected refund policy.
